Configure Common Company Settings

Configure company-wide options that control customer messages, server connections, payroll deductions, email delivery and other bodyshop-level settings.

Go to the Settings page, then select Company Settings in the left menu.

If you manage more than one bodyshop, first choose the specific shop from the dropdown in the top-left corner of the screen. All user operations on this page apply to the currently selected bodyshop.

Overview

The Company Settings section lets you view the company Customer Satisfaction Index (CSI), configure connections to your Desktop Server, set up payment and email delivery options, customize all automated customer messages, and define a number of employee and shop-level parameters used in calculations.

Below is a structured description of every option and how to use it.

1. Customer Satisfaction Index (CSI)

  • Displays the current company CSI on a scale from 0 to 10.
  • Read-only value shown at the top of the page.

2. Server's IP Port

  • Intended for advanced users and system administrators.
  • This field stores the Desktop Server address and port used by local installations (Desktop Server).
  • You may list multiple address:port entries if Desktop Server is available on several endpoints.
  • To add an address and port, click +. To remove a specific entry, click – next to it.
Only modify Server's IP Port if you understand your network configuration. Incorrect values may break local Desktop Server connectivity for EstVis Workflow or EstVis Mobile apps.

3. PayPal integration

Fields:

  • PayPal Client ID – your PayPal app Client ID.
  • PayPal Client Secret – your PayPal app Secret key.
  • PayPal Add text in message – optional custom text appended to customer messages related to PayPal payments.

Where to get Client ID and Secret:

  1. Open https://developer.paypal.com and sign in with the PayPal account used by your bodyshop.
  2. Go to My Apps & Credentials.
  3. Create a new app (or open an existing one) and copy the Client ID and Secret (use Live credentials for production).
Use Live credentials for real transactions and Sandbox credentials only for testing. Keep the Client Secret private.

4. Customer message templates

These templates control all automated SMS/email text sent to customers. Use them to provide damage-photo requests, completion notices, reminders and advertising. EstVis supports variables for autosubstitution – see the variables table below.

Template fieldPurpose / Behavior
Request Dmg pics & Work Auth messageSent automatically when a case is created or imported from an insurer (if customer contact info is present). Requests damage photos and a signed Work Authorization (WA). Photos and signed WA are saved to the case folder and are accessible in Workflow and mobile apps.
Follow up SMS to customer 7 days after complete picture takenSent automatically 7 days after the first complete photo. Good for NPS/ratings requests or marketing (Google/Yelp prompts).
Advert text messageSent when a case moves to a bucket that has the SendAdvert action assigned. Recommended to assign SendAdvert to only one bucket to avoid over-notifying customers.
Complete status SMS text messageSent automatically when repair is completed (when the first complete photo is taken). Use to inform customer the vehicle is ready.
Request Dmg pics repeat SMS text messageA repeat reminder asking customer to provide damage photos and sign Work Authorization.
Status change notification messageSent automatically when a case moves to a bucket that has the SendCustomerMessage action enabled. EstVis allows to customize customer message for each status that has SendCustomerMessage action enabled individually.

Customer notification about parts messageNotifies customer that required parts have been received.
Customer drop off reminder messageReminder for the customer to drop off the vehicle at the shop.
All templates may include variables for automatic substitution. Variables start with the character { and end with }, for example: {SHOP_NAME}. EstVis substitutes each variable with the current case/shop value when sending the message. Learn more about available template variables

5. Let customer set expected vehicle drop off date and time

  • Checkbox that enables customers to choose a preferred date and time for vehicle drop-off when they upload damage photos and sign the Work Authorization.
  • Customer sees this option during the damage-photo / WA flow if enabled.

6. CC SMS to Email

  • When enabled, SMS messages sent to customers are also duplicated to the customer email address (if present).

7. Employee insurance settings

  • Employee insurance (checkbox): Enable automatic withholding of a specified amount from an employee as contributions to an insurance fund (useful to cover damages caused by an employee).
  • Employee insurance limit ($): Total fund amount up to which deductions continue. When the collected amount reaches this limit, deductions stop until the fund decreases (for example after a write-off).
  • Employee insurance percent (%): Percentage deducted from each employee payment while the fund is below the limit.
Enable Employee insurance only if you have a clear agreement with employees and legal compliance for payroll deductions in your jurisdiction.

8. Shop Employee Rate

  • Hourly rate ($ per hour) used by some bodyshops in internal calculations.

9. Week goal and Week range

  • Week goal (hours): Planned number of employee hours per week. Used for performance measurement and motivation/bonus calculations.
  • Week Range: Two dropdowns that define the business week range (start and end day). Each dropdown lists days Monday–Sunday. This range is used together with Week goal for reporting and calculations.

10. Enable notification on status change

  • Checkbox to enable or disable automatic customer notifications when a case changes status.
  • To control which statuses trigger notifications, add the SendCustomerMessage action to the appropriate buckets in Bucket customization. Learn more: Workflow Statuses (Buckets) & Automated Actions.

11. Custom outgoing email (SMTP)

By default, all emails are sent from an EstVis domain. If you prefer to send emails from your own mail server, enable Enable custom email and fill in the fields below:

  • Email server – SMTP host (e.g., smtp.example.com)
  • Email server port – SMTP port (e.g., 587)
  • Email server user – SMTP login
  • Email server pass – SMTP password
  • From – name shown to recipients
  • Email address – From address used in outgoing mail
  • Enable TLS – toggle for Transport Layer Security
If your SMTP settings are incorrect, emails may fail to send. Confirm credentials with your mail provider and ensure the SMTP port and TLS setting match provider requirements.

12. Show review links only for marks higher than

  • Enter a value between 0 and 9. EstVis will show Google/Yelp review links to customers only if the in-app rating provided by the customer is greater than this value.

13. Review links

  • Google review link – URL to your Google business page.
  • Yelp review link – URL to your Yelp business page.

Saving changes

After making any changes on the Company Settings page, click the Save button at the bottom of the page to apply and persist settings.

Changes are applied immediately for new messages and processes. For some integrations (for example Desktop Server URL changes), connected apps may require a restart to pick up the new values.
