User Accounts, Roles & Permissions

How to create, edit, remove and manage users, roles and access for your bodyshop in EstVis.

Go to the Settings page, then select User management in the left menu.

If you manage more than one bodyshop, first choose the specific shop from the dropdown in the top-left corner of the screen. All user operations on this page apply to the currently selected bodyshop.

Overview

The User management screen lets you create, edit, remove and reassign users; control their roles and permissions; limit mobile access; and set a default insurance company for new cases created by each user.

Main capabilities:

  • Create a new user account for the current bodyshop.
  • Add an already registered user from your other bodyshops to the current bodyshop.
  • Edit user details, roles and permissions.
  • Reset a user password.
  • Remove (delete) or Unbind a user from the current bodyshop.
  • Configure additional role-based parameters in Roles Settings.

Roles concepts

Roles in EstVis are used to restrict users capabilities and what users can do and see. Typical roles are:

  • Managers
  • Bodytechs
  • Estimators
  • Painters
  • Auditors
  • Other

Role behavior:

  • Users with specialized roles (bodytechs, painters, etc.) will by default only see cases assigned to them. This is deliberate to reduce noise on shop floors.
  • Role icons appear on case cards with role-specific shapes (diamond for bodytech, circle for estimator, square for painter, trapezoid for other).

Suggested minimal permission mapping (adapt to your policy):

RoleTypical permissions (example)
Administrator / ManagerCreate/edit employees, access and adjust Settings, payroll & reports, vendor management
EstimatorCreate/edit estimates, view assigned cases, assign parts/labor lines
Bodytech / PainterView and update assigned cases, complete checklists, add photos/notes
AuditorView & verify cases, run inspections/audits, post invoices, close cases
OtherLimited case view, view assigned cases, messaging, basic notes
Your installation may have additional custom roles or permission toggles. Use the Company Settings page to adjust available role settings.

General actions

The first section of the page contains these buttons:

  • Create new user – open the Create new user modal.
  • Add registered user – add a user who already exists in another bodyshop in your account.
  • Show deleted / Show active – toggle whether deleted users are shown in the table (Show active displays only active users).
  • Roles Settings – open advanced role assignment options (see Additional roles settings below).

Company users list (table)

The users table lists all users for the currently selected bodyshop (or only active users when Show active is enabled).

There is a filter field above the table. Start typing a user login, first or last name, phone number, email, or role to filter the users table.

To sort by any column, click the column header (click again to toggle ascending/descending).

Create a new user – step by step

  1. Click Create new user. The Create new user modal will appear.

  2. Fill the required fields:

    • Login – unique username for signing in.

    • Password – type and repeat the password in the confirmation field.

    • Full name
    • Cell phone #
    • Email
    • Employee rate – hourly rate used for payroll calculations.

    • Employee extension – phone extension for internal calling.

    • Employee camera link – optional link to a camera if a camera is set up at the employee workplace.

Employee camera link is applied when you have cameras configured in EstVis for photo capture or workstation monitoring. If you do not use cameras, leave this field empty.
  3. Check Not employee for service accounts or other non-employee logins.

  4. Set Employee hire date – defaults to today but can be changed.

  5. Choose Default insurance from the dropdown – this insurance will be preselected each time this user creates a case in the current bodyshop.

  6. Assign Role: select a role from the dropdown. Use the + button to add additional roles and the – button to remove a role. When only one role is assigned the – button is hidden while every user must have at least one role.

  7. Set MC Access Level to control mobile access:

    • Local & External – user can access the bodyshop from the mobile app both inside the shop network and from outside.
    • Local – mobile access allowed only when connected to the bodyshop local network.
    • Disable – mobile access is blocked for this user.
  8. Click Save to create the user.

Add a registered user (from other bodyshops)

Use this when you manage multiple bodyshops and want to reuse an existing user account in another shop.

  1. Click Add registered user. The Add registered user modal table of registered users will open.
  2. Find the user and click the + button. The user is immediately added to the current bodyshop.
The same user may have different roles in different bodyshops.

When signing in, a user assigned to multiple bodyshops can choose which attached bodyshop to open and can switch between them in the Workflow or mobile apps.

Additional roles settings

Click Roles Settings to open the advanced role assignment area. This section controls which roles have access to specific UI features and message visibility across Workflow and mobile apps.

Available parameters:

  • SHOW_ALL_CASE_TABS – which roles can see the ALL CASES tab (an abstract bucket that shows all cases).
  • SHOW_ALL_BUCKETS – which roles always see all workflow buckets.
  • SHOW_CUSTOMER_MSGS – which roles can view customer messages.

To assign a role to a parameter, drag-and-drop the role from the list into the parameter row. To remove a role from a parameter, drag it out of the row.

Role assignments in Roles Settings affect visibility across Workflow and mobile apps. Review permissions carefully to avoid exposing sensitive data.

Edit, Reset password and Remove / Unbind

  • To edit a user: click Edit at the right of the user row. Make changes and click Save.
  • To reset a user password: click Reset password. This triggers the password reset process for that user.
  • To remove a user from the current bodyshop: click X.
Important: if a user is attached to more than one bodyshop, the X button is replaced by a – (Unbind) button. Unbind detaches the user from the current bodyshop but does not delete the account from other bodyshops or from your overall account.

Use Show deleted to review users that were previously removed. Deleted users can be restored if needed, depending on your permissions and retention settings.

Best practices

  • Keep each user s Login unique and do not share accounts between people.
  • Assign the minimum set of roles required for a user to do their job.
  • Use the Default insurance setting to speed up case creation and reduce mistakes when users open new cases.
  • Limit mobile access with MC Access Level where appropriate – for example, set to Local when you want mobile access limited to devices on your shop network.
