Template Variables

How to use variables in EstVis message templates for automatic substitution.

Overview

Templates in EstVis can include variables for automatic substitution when messages are sent to customers. Variables are placeholders that start with the character { and end with }, for example: {SHOP_NAME}. When EstVis sends a message, each variable is replaced with the corresponding value from the current case or shop.

Use the Company Settings section in the Settings to edit various templates.

Variables are case-sensitive and should not be renamed or altered. Use the exact variable name shown in the table below.

How substitution works – example

Template (what you type into the editor):

{SHOP_NAME}
Dear {OWNER_NAME}, please provide set up (from a distance) and close up damage pictures via the link. Once completed, please call us to confirm drop off date: {SHOP_PHONE} {DMG_WA_LINK}

Actual message sent to the customer (after automatical substitution):

Best Bodyshop Ever
Dear John Snow, please provide set up (from a distance) and close up damage pictures via the link. Once completed, please call us to confirm drop off date: 407 123 4567 https://customer.estvis.com/?id=abc123

Where to use specific variables

  • Use {DMG_WA_LINK} in messages that request damage photos and electronic Work Authorization.
  • Use {COMPL_LINK}, {DED}, {BETT} in completion/ready-for-pickup messages so the customer receives links and any amounts due.
  • Use {ADD_LINK}, {ADD_COUNT}, {ADD_SUM} in messages offering additional (payable) services.
  • and so on...

Best practices and common pitfalls

  • Do not change the variable name or add extra spaces inside the placeholder. Use the exact variable shown (case-sensitive).
  • Do not include additional punctuation inside the variable – place punctuation outside the variable.
  • Test templates by sending a preview or test message to verify substitution and formatting before enabling for customers.
  • If a value is not available for the current case, EstVis will leave the placeholder blank or omit that field – design the sentence so missing values do not break readability.
Avoid pasting variables from external sources that may include hidden characters. If a variable does not substitute, retype it manually in the template editor.

Editing templates

  1. Open the Settings page and go to Company Settings.
  2. Select the message type you want to edit.
  3. Insert variables where needed using the exact names shown in the table above.
  4. Save and send a test message to confirm correct substitution.
You can combine multiple variables in a single sentence. Keep messages concise to avoid truncation in SMS channels.

Troubleshooting

  • No substitution occurs: check for typos, extra spaces, or incorrect case. Re-enter the variable from the table.
  • Link variables not resolving: ensure the case has the required data (for example, {COMPL_LINK} requires the case to be marked complete so EstVis can generate the link).
  • Customer receives an empty value: the corresponding field may be missing from the case; update the case details and try again.
